Creating and Managing Email Accounts: A Complete Guide

Step 1: Creating an Email Account

Creating an email account is like making your own mailbox—it’s where all your messages go! Here’s how to do it:

  1. Log into your HubSeek Control Panel: Go to panel.hubseek.com and log in.
  2. Go to the Email section: On the left sidebar, click on Email.
  3. Add a New Account:
    • Click Add Account.
    • Fill out the form with the email address you want (e.g., yourname@yourdomain.com).
    • Choose the type of account:
      • Mailbox: A regular email account where you’ll receive emails.
      • Forwarder: This forwards emails to another account (e.g., sales@yourdomain.com to your Gmail).
  4. Finish: Once the form is filled out, click Add to create the account.

Step 2: Webmail Access

Once you’ve created your email account, you can access it through webmail to read and send emails.

  1. Go to pandamail.hubseek.com.
  2. Log in using your new email address and password.
  3. HubSeek uses Roundcube as the webmail interface, making it easy to send and receive emails from anywhere.

Step 3: Managing Your Email Settings

Now that you’ve created an email account, you can modify settings like changing the sender nameadding forwarders, or setting up out-of-office responses.

  1. Go to the Email section: Click on Email in the left sidebar.
  2. Click on the Email Address: Select the email account you want to manage.
  3. Adjust Settings:
    • Forwarders: Forward emails to another account.
    • Spam settings: Adjust filters to control what reaches your inbox.
    • Out-of-Office: Set up automatic responses when you’re away.
    • Email client configuration: Use manual setup to connect email clients like Outlook.

Step 4: Setting Up Email Authentication (SPF & DKIM)

To ensure your emails don’t end up in spam folders, it’s important to set up SPF and DKIM. These tools help prove that your emails are legitimate.

  • SPF (Sender Policy Framework): Verifies that emails from your domain are sent from a trusted server. HubSeek automatically adds an SPF record for you.
  • DKIM (DomainKeys Identified Mail): Signs your emails, proving they came from your domain. You can turn this on with a few clicks.

Here’s how to enable DKIM:

  1. Go to the Websites section: Click on Websites in the left sidebar.
  2. Select your website: Choose the website where you want to enable DKIM.
  3. Go to Domains: In the top menu, click on Domains and select the domain you want to enable DKIM for.
  4. Enable DKIM: Scroll to Email Authentication and toggle DKIM to On.
    • If your DNS is hosted with HubSeek or Cloudflare, DKIM will validate automatically. If your DNS is hosted elsewhere, follow the on-screen instructions.

Step 5: Using Gmail for Email

Email management can get tricky, and if you want something that offers advanced features like searchspam protection, and deliverability, we recommend using Gmail. Here’s why:

  • Deliverability: Gmail has excellent email delivery and spam filtering.
  • Ease of use: Gmail’s interface is user-friendly and familiar.
  • Advanced tools: Gmail offers features like labels, filters, and a powerful search function.

Step 6: Setting MX Records (if using your own DNS)

If you’re using your own DNS (not HubSeek or Cloudflare), you’ll need to set MX records to route your email correctly.

  1. Set the MX Record to:
    • Priority: 0
    • Destinationmail.YOURDOMAIN.com

Once done, your email will route through HubSeek’s servers.
